Version 3.14: Invite the Notetaker to a Meeting After It Started · April 2026

What's New

You can now manually add the Spotlight.ai notetaker to a meeting that has already started. If the notetaker didn't join automatically for any reason, or was removed from the meeting by the organizer, you still can have it rejoin and take notes for you — just invite it in, and it'll join within minutes.


How It Works

  1. Go to the Interactions -> Meetings tab in Spotlight.ai.
  2. Click the "Add Notetaker to Meeting" button.
  3. Paste the meeting invite URL from Zoom or Microsoft Teams into the input field.
  4. Click "Add Notetaker to Meeting".

If the meeting is found in Spotlight.ai's system, you'll see a confirmation: "Meeting found. The notetaker will join within 1–2 minutes." The window will close automatically after a few seconds.

If the meeting isn't recognized, you'll see: "This meeting wasn't found in our system, so the notetaker couldn't join."

Note: Depending on your organization's Teams or Zoom settings, the meeting owner may need to admit the notetaker as an external participant when it joins.


What's Supported in This Release

This feature currently supports meetings that already exist on your calendar and that Spotlight.ai is aware of, and that the Notetaker was supposed to join. Ad-hoc meetings (not previously on your calendar) are not supported yet.

The "Add Notetaker to Meeting" button is available to users with an AI-assisted profile.
