How to install the Spotlight.ai Outlook Calendar Connector


Provisioning the app on a Microsoft tenant

  1. For the person who will be doing the installation, go to https://app.spotlight.ai and click the Sign in with Microsoft button and verify you were successfully logged into Spotlight.ai. That user must have an email address associated. If this step fails, please reach out to support@spotlight.ai.
  2. Check Organizational Settings in Teams Admin Center. Enable anonymous participants in meetings, or define a group of users with anonymous participant rights.

  1. The person doing the installation must have Microsoft Administrator privileges. Please go to https://app.spotlight.ai/oauth2/authorization/outlook-calendar.

  1. After selecting the user, the browser redirected to the Permission requested dialog...

  1. Click Accept to be redirected to https://app.spotlight.ai or https://stage.spotlight.ai. After this point, you should be in a logged-in state in Spotlight.ai. If you are not, please reach out to support@spotlight.ai.
  2. Authorize the Spotlight.ai Teams Bot to join meetings organized by tenant users by going to https://login.microsoftonline.com/common/adminconsent?client_id=5cb039f8-5486-4341-98b6-5d26d1bc9fc1&state=q&redirect_uri=https://app.spotlight.ai.
  3. Follow the similar steps as above, but this time the dialog will look like this...

  1. Approve the app, and you will land on the login page https://app.spotlight.ai/login.

Restrict Access to a Group of users

By default, consent makes the app available to all users. To narrow the scope:

User Assignment Required

In the target customer's tenant, the admin goes to: https://entra.microsoft.com/#home    and select:

Entra ID → Enterprise Applications → Spotlight.ai Outlook Calendar Connector → Properties

Set User assignment required? to Yes.

Go to Users and Groups


** Select users to be assigned to Spotlight.ai Calendar Connector **


Enter only the admin user that used to authenticate the app

The app is now restricted to the admin user.


End-End testing

  1. Schedule a meeting with a spotlight user that will start +15 minutes from now
  2. Join that meeting
  3. Validate that the Spotlight bot joins the meeting as well.
  4. Talk in the meeting for at least 3 minutes with spotlight personnel
  5. After the meeting is completed, you should receive a summary email

Provision additional users

Add additional users assigned to the calendar connector (as in Step 3).
